This Privacy Policy explains how the Company collects, uses, stores, discloses, and protects information in connection with the TryoutPro Volleyball application, website, and related services (collectively, the "Service"). The Service is intended for use by adults acting in an authorized capacity on behalf of clubs, schools, leagues, teams, and other organizations (each, an "Organization").

By accessing or using the Service, you acknowledge that this Privacy Policy applies to your use of the Service together with the Terms of Use and the User Consent Policy, each as updated from time to time.

In many cases, the applicable Organization determines what information is submitted to the Service and how that information is used within the Organization. Where that is the case, the Organization may be primarily responsible for responding to certain privacy requests relating to that information.

1. Information We Collect

1.1 Player Information, Including Information Relating to Minors

Organizations may input or otherwise provide the following categories of player information through the Service:

• Player name and profile details
• Player attributes, such as height, position, and graduation year
• Evaluation scores, rankings, and related metrics
• Coach notes, comments, and observations
• Team assignment, placement, or roster-related information
• Tryout attendance and status information

Such information is entered by authorized adult users and not directly by players.

1.2 Photographs and Other Media

If authorized users capture, upload, or otherwise submit images through the Service, we may store the following categories of media:

• Player headshots
• Tryout identification photographs
• Other evaluation-related images submitted through the Service

The Company does not use images for facial recognition, biometric identification, biometric analysis, or marketing purposes. The Company does not intentionally collect geolocation metadata embedded in uploaded images.

1.3 Account and Organization Information

In connection with organization accounts and authorized user access, we may collect the following information:

• Coach or staff name
• Email address
• Organization name
• Role within the Organization
• Login credentials stored in hashed and salted form

1.4 Technical Information

We may collect certain technical information, including:

• Device type
• Browser type
• IP address
• Usage logs
• Crash logs
• Session activity

We may also use cookies and similar technologies for authentication, security, session management, performance, analytics, and functionality.

2. How We Use Information

We may use information collected through the Service for the following purposes:

• Provide evaluation, scoring, ranking, and reporting tools
• Display player information to authorized users
• Operate, maintain, secure, troubleshoot, and improve the Service
• Prevent misuse, fraud, and unauthorized access

5. Photographs and Media Handling

5.1 Consent Requirements

Organizations are solely responsible for obtaining all required consents before uploading images.

5.2 Permitted Uses

Images may be used solely for:

• Player identification
• Evaluation workflows
• Internal administrative purposes

5.3 Prohibited Uses

• Marketing or advertising
• Public display
• External distribution except as required by law
• Biometric analysis

5.4 Deletion of Photographs and Media

Images may be deleted automatically or upon verified deletion request.

6. Data Retention

Data is retained as long as reasonably necessary to provide the Service and comply with obligations. Default retention is five (5) years unless the Organization selects a different period.

7. Data Security

We maintain safeguards including:

• Encrypted transmission
• Encryption at rest for sensitive fields
• Role-based access controls
• Audit logging

8. Children's Privacy

The Service is intended for authorized adults only. The Company does not knowingly collect information directly from children under 13.

9. Your Rights

Depending on your location, you may have rights relating to access, correction, deletion, restriction, objection, portability, and appeal.

10. Organization Responsibilities

Organizations are responsible for all acts and omissions relating to information they submit.

11. International Users

Information may be transferred to and processed in the United States.
